Using Training Groups

A major strength of the Virtual Safety Manager (VSM) is the ease with which training can be assigned to employees. With VSM, company management and safety program administrators can be assured that employees are trained to work safely around potential hazards and that appropriate documentation of the training is recorded.

Employees are assigned to training groups based on the hazards to which they could be exposed. Once a group is established, training for the entire group is identified, and then employees are assigned to the group.

This process is as follows:

• To establish training groups, go to the Tools page and scroll down to Training Groups.
  
  



• Click on Training Groups to display the following page.
  
  



• In this example, two training groups have been established, one named All Employees and the other Fork Lift Operators.
• The All Employees group consists of everyone working at this facility. The second group is made up of those who operate forklifts.
• A forklift operator will be a member of the All Employees group and receive training assigned to that group. Not all employees will be members of the Forklift Operators training group and, therefore, not all employees will be trained on forklift operations.  

• To add a new Training Group, click on Add New Training Group and provide the information requested.
  




• In this example, a training group named Warehouse Personnel consisting of those who work in the warehouse has been created.
• Note the “Required” box at the bottom. If this box is checked, all employees working at this location will be assigned to this group. If the box is left unchecked, the group will consist of those employees assigned to it.
• When all the information is completed, click on the Save button. You will return to the list of training groups for this facility (below).
• Note that a third training group, Warehouse Personnel, has been established. Training can now be assigned to the group.
  
  
  
  
  
• Note to the right of the page a column titled Select Training. Click on the icon in the line with the Warehouse Personnel group to view training options and assign training to this group (the illustration only gives a sample of the classes available in VSM)
  
  
  
  
  
• To select and assign training, click on the “Select” box to the left of the subject name.
• When selections are complete, scroll to the bottom of the page, click Save to save the information and then scroll back to the top of the page.
• Click on Return to Training Group List Page and the screen showing existing Training Groups will display.

• To assign employees to the group, click on the Select Employees on the line with the Warehouse Personnel. A screen listing all employees appears.
  
  
  
  
  
• To add employee to this group, click Add/Remove on the line by the desired employee name. A green check will appear. Those employees are now members of this group and will be assigned any training assigned to the Warehouse Personnel training group.

VSM allows employees to be grouped according to the potential hazards they may encounter and then trained to protect them when working with or around those hazards.
